Minutes of the Warwick Student Cinema (WSC) Executive Committee meeting held on Monday 16th June 2014 (Term 3, Week 9)

Present: Oliver Brown (President; chair), Jess Carroll (Films Officer), Bonita Chung (Events and Socials Co-ordinator), Reece Goodall (Vice-President; minutes), Richard Kirk (Marketing Officer), Alex Pointon (Technical Officer), Charlie Roberson (Chief Projectionist), Allie Wyant (Treasurer)

1. Welcome and Apologies
Apologies were received from Rachel Keighley (Chief Duty Manager), Chloë Pugh (Chief Editor) and Thomas Purchas (IT Officer).

2. Outdoor Screening
i) Preparation
Clothing is to arrive on Friday, but effectively everything else is ready. It was reported that both the leaflets (instantprint.co.uk) and the banner (hfe banners) were excellent value and quality, and are worth using again.
ii) Running Order
Arrival on Tocil Field will occur at 10:00 (an e-mail will be sent out to inform crew members of this), with the tech team and publicity run to begin working on campus. A break for lunch will take place at 14:00, with the screen and barriers up between 15:00-16:00. RaW will arrive and start broadcasting at 19:00, and the audience will be allowed onto the field then. The film is scheduled to finish around 23:30-00:00, with a clean-up then taking place. It was unanimously agreed that pizza would be ordered (approximately 02:00) for anyone who helps all day and lasts until the end.
iii) Publicity Run
It was decided not to pigeonhole, but rather to target kitchens with leaflets and promote the event on campus with a Minion costume (subject to availability) and the event polo shirts.

3. Publicity Elections
It was confirmed that there is at least one candidate for the Publicity election. The issue of the new quoracy will be resolved if it occurs at the election.

4. CP500
The Technical Officer reported that we will need to replace the CP500 in the near future, at an estimated cost of £5000-8000 (film and digital) or £4500 (digital only). He will look up the various options and propose them to the exec before a decision is reached.

5. Sponsorship
Discussion regarding sponsorship is still on-going, and the President will inform the exec when he has definite news.

6. Time and date of next meeting
The next meeting is provisionally booked for Friday week 10, at lunch, in the Dirty Duck.

7. AOB
i) The Chief Editor reported that WSC will need to use Adobe indesign – there are a number of packages available, and the society must look into the different options.
ii) The Events and Socials Co-ordinator reminded everybody that a social to Alton Towers will take place on Sunday.
iii) It was asked that WSC gets in touch with the Societies Officer, who will then e-mail societies about collaborating with WSC.
