Present: Christopher Greenland (President; chair), Matt Williams (Chief Duty Manager; minutes), Joel Speed (IT Officer) and Richard Kirk (Publicity Officer).

1. Welcome & Apologies
Apologies were received from: Dom Lam (Chief Editor), Hannah Freeman (Marketing Officer), Alex Holmes (Treasurer), Lakshmi Ajay (Chief Projectionist), Anjana Radhakrishnan (Vice-President) and Jacek Kopanski (Films Officer).

2. Programming Meeting
The programming meeting will be on Wednesday 2nd November at 2pm. Jacek will send a draft schedule to the Exec before the meeting.

3. Events & Socials Election
Election for the Events and Socials Coordinator role will be on Wednesday 2nd at 4pm.
Chris will send an email regarding applying for the role. Nominations will close on Tuesday 2nd November at 11:59pm. Anjana will be the returning officer for the election.

4. All Nighter
The running order of the films at the All Nighter needs to be decided. This will be done at the programming meeting on Wednesday. A Facebook event for the All Nighter will be created.
240 tickets for the event will be set up on the SU website.

An exec vote is needed to decide on which charity we will have for the event and how much money from each ticket will go towards the charity, but not enough exec members were present to pass a vote. An exec vote is also needed to decide prices for the All Nighter. Not enough of the exec members were present at the meeting to pass a vote.
Exec present at the meeting suggested using the same prices as last year.

It also needs to be decided whether we are doing a quiz and a raffle. This will be decided at the next exec meeting. Matt and Lakshmi will organise DMs and Projs’ respectively to staff the All Nighter.

5. Society Collaborations
Warwick Women for Women International, Hotel Rwanda on Wednesday 2nd November. The show will need to be set up on the rotas Joel will create a special ticket for the event – all tickets will be £3. Graphics for the screening will be found from the archives.
Warwick Pride, screening of Pride in Week 7 Sunday 20th November. The show will need to be added to the rotas. It will be an educational screening, so all tickets are free. Graphics are needed for this screening.
UNICEF, screening of Welcome (a French Film) in Week 9. This is still in the process of being organised between Chris and UNICEF on campus’ representatives.

The societies concerned above need to be contacted for their logos, so they can go on our slides and publicity. Member’s lists for these societies will be needed for the screenings.

Idea of ‘Collaboration Sunday’s’ was briefly discussed. This is where all collaborations will be planned for Sunday nights.

6. TADONM
To be decided via a Doodle poll.

7. AOB
a) The Shrek Big Screening competition winner (post of a selfie with Lord Farquaad) will be contacted and given a free ticket to a film.
b) Team leaders please email Joel a list of your new team members.
c) The Getting Involved banner has been ripped and needs replacing. Cost of a new one needs to be found. Richard will make a new banner in the 2 weeks.
d) Next order of publicity will be in week 10 or 11. Quantity of publicity and whether we get the flags needs to be organised and voted on before the order.
e) Cinema for ALL awards is on Saturday 5th November – we need a list of who is going. Please inform Chris if you are going.
f) A social to see the Kenilworth fireworks needs to be organised. As the event is too soon for newly elected events and socials coordinator to organise the Vice-President will organise this event.
g) Louder than Bombs – Chris will include an apology about the cancelled screening in the next weekly email. Films should always be ingested 3 days beforehand, and in future the reputation of distributer needs to be assessed before ordering a film.
