Minutes of the Warwick Student Cinema (WSC) Executive Committee meeting held on Saturday 7th October (Term 1 Week 1)

Present: Reece Goodall (President; chair), Anjana Radhakrishnan (Vice President; minutes), Caleb Gilliam-Scott (Chief Duty Manager), Chris Greenland (Publicity Officer), Matt Williams (Treasurer), Matt Davies (Films Officer), Benji Levine (IT Officer), Kieran Hall (Chief Projectionist), Irene Mercader (External Relations Officer), Lakshmi Ajay (Events and Socials Coordinator; points 4-6) and Hamish Brown (Marketing Officer).

Also present: Richard Kirk (point 6).

1. Welcome and Apologies
Hamish, Richard and Lakshmi provided apologies for missing the start of the meeting.

2. Getting Involved Meeting
The Getting Involved meeting is at 2pm today. Team leaders will be making a speech, and other members of exec will be introducing themselves. Reece has a few slides for Marketing. Team leaders will have sign-up sheets prepared. Pizza has timed to arrive at 2.15pm.
Running order of the meeting: introduce ourselves, mention socials, reasons to get involved and team leader speeches: Front of House, Projection, Publicity, Marketing and IT. Reece will also mention the Open Cinema happening tomorrow before we finish.

We will set up a till in L3 for people to buy memberships during the Getting Involved meeting, if they wish. A banner will be placed outside L3 ahead of the Getting Involved meeting and signs put up to direct people. Flyers will be printed with information about our upcoming socials.

3. Freshers Update
Over the past week, we’ve had two pub runs and covered everywhere on campus. For the Societies Fair, we took along ~2000 pieces of publicity and gave out everything. We filled up all our sign-up sheets (~250 names) and an email has been sent giving them further information. This time last year we had 245 members, and now we have 321. A few freshers also came to our Welcome back meal, which was great to see.

We are running low on publicity for this term, but next term we could leave publicity in pigeon holes. We have ~4000 loyalty cards left, so we have used over half our ordered stock.

4. Upcoming Socials
Next Wednesday (11/10) there is a Sci-Fi Scavenger Hunt with Star Wars society, Who Soc, Film Studies society, at 4pm starting from L3. Anjana has made a booking request for L3 from 4pm to 7pm for that evening. We have our Pub Quiz next Friday at 9.30pm in the Duck. Lakshmi and Reece are sorting out the music for the night. There will be a second Getting Involved meeting on Wednesday, week 3 at 6pm. In week 4, we will be going to pop. There are more socials planned for later on in the term too.

5. TADONM
This will be decided on an exec email thread, provisionally set for Wednesday, week 3, before the next Getting Involved meeting.

6. AOB
i) Lakshmi would like all exec members to try and be present at the coming socials and be welcoming to newcomers.
ii) Kieran has two large money request forms to be signed.
iii) There is a parcel that should be arriving on Monday (tape) – the invoice for it needs to be signed and sent off soon.
iv) We had our first FilmSoc radio show of the term on RaW – Chris mentioned it was very good. It is scheduled for 11am on Thursdays. If you would like to help, you are welcome to come along.
v) There is a Screen Unseen taking place at 8.15pm in Nuneaton, to which people are going along to. If you would like to come along, let Iain know.
vi) A number of external people have mentioned to Reece that they are interested in watching Dunkirk in 70mm. Various requests of collaborations have also been made: physics society want to do a collaboration for Interstellar and comic book society want to do a collaboration for Wonder Woman.
vii) If you’re in the exec office, please roll up more A2s.
viii) We need to have everything ready for the Allnighter by week 4.
ix) Neither the members or the crew mailing lists are not working. So please use the website to send such mass emails.
