Meeting commenced 17:10

1. Welcome and apologies

CDM welcomed those present and attempted to distribute chocolate bourbons. CDM realised they had left said chocolate bourbons in the office.

2. Rotas:

3. Eating at Warwick

•We now have an Eating at Warwick machine
•It can sell memberships and Socs fed as well as tickets
•Machine connected to master till
•Must be plugged in at all times
•Theoretically any till can use it
•At current it is only being used on a single till (the master)
•It runs independently of the website
•There are changes to how cashing up works:

a.Need to record what was taken by E@W machine for tickets, and separately for MSL POS sales (memberships/ socs fed)
b.POS report will have the total amount taken for MSL POS
c.Website will autofill the EPOS total (tickets)
d.If a double screening, POS reports will give early figures, but website won’t record early figures
e.There is now a separate field for the POS id of the till on which the E@W machine was used. This POS id still needs to be entered like usual in the session id box as well

•Currently show deactivation is not ready. DO NOT DEACTIVATE ANY SHOWS (ANY SHOWS!!!) until Benji gives the go-ahead
•By all means check till differences using the deactivation function, but DON’T SUBMIT
•For the time being put all money and a written report in the opaque grey bags and place in the safe. DO NOT PUT THE BAGS IN THE ORANGE TREASURER BAG
•Hopefully a document can be created which outlines the new process. This can be placed on the forums
•Training sessions will be provided, CDM will confirm
•DON’T USE EATING AT WARWICK FOR THE TIME BEING, until the bugs can be fixed
•There was talk of a refund option. This is not possible for legal reasons, so a series of confirm payment amount boxes will be implemented, to make doubly sure of the amount

4. AOBs:

i.Andy has run an Ethernet cable to where we usually put tills. The master till trolley must be pivoted around the Ethernet port, and can’t change position

ii.Concerns were raised over the tills being moved for poster displays etc. and E@W being unplugged. If you notice this has happened, contact Benji, Andy or Alex Pointon.

iii.A label saying “Do not unplug” with a contact number will be made

iv.The former publicity officer requested the rolling of A2s

v.For 3 shows this week there are 4 trainee stewards. Code is being written to prevent this. Experienced stewards will be available to assist on these shows. Justin will stick around after the 6:30pm Friday show to help on the late

vi.Please comment on the assignment of trainee stewards during their training period

vii.There are new (custom) door stops following the others going missing…

viii.Stewards who have had a leave of absence from stewarding will have their crew status renewed once they are stewarded regularly again. CDM will monitor the free film allowance, as per the constitution

ix.If something technical goes wrong post it in the error reports channel on slack. A Screenshot/detailed description of the error is of great use to the IT team

x.The tills are now labelled according to desktop background colour for reference

xi.The IT officer requested that the flight cases must be matched to the corresponding tills now that they are labelled. A way around this will be looked into

xii.There is no longer a Getting Involved Meeting this Wednesday

xiii.It was felt that Facebook events are going up too late and not having enough time to reach a wide audience

xiv.There is an Exec meeting Wednesday at 7pm

xv.The missing biscuits are in the CDM tray and crew may avail themselves of them

xvi.A list of potential DMs is also in the tray. Please tick, add those stewards who you think will make good TDMs
