Minutes of the Warwick Student Cinema (WSC) Executive Committee meeting held on Wednesday 24th January (Term 2 Week 3)

Present: Reece Goodall (President; chair), Anjana Radhakrishnan (Vice President; minutes), Irene Mercader (External Relations Officer), Kieran Hall (Chief Projectionist), Benji Levine (IT Officer), Caleb Gilliam-Scott (Chief Duty Manager), Chris Greenland (Publicity Officer), Lakshmi Ajay (Events and Socials Coordinator), Matt Williams (Treasurer) and Hamish Brown (Marketing Officer; points 2-7).
Also present: Ashley Davey, Alex Holmes, Richard Kirk, Iain Walker, Jake Frost and Hilla Hamidi.
1. Welcome and Apologies
Apologies were received from Matt Davies (Films Officer).
2. Meet the Exec and Elections
Reece ran through what will happen in the Meet the Exec, which will follow this meeting, starting at 5pm in L4. Each exec member will make a short speech (a minute or two) and be open for questions afterwards.
Elections are in two weeks time. It was recommended for those running to be present for the AGM and elections event. A free film will be awarded to those present at the event and voting in the elections. All WSC members present at the AGM and elections are eligible to vote in these elections.
3. Fire Exit Safety
One of the fire exits from L3 was filled with rubbish, and the projection room fire exit appears rather compromised. Please clear these up.
One of the fire exits has a deadbolt and may increase difficulty when opening it in the case of an emergency. Estates will be contacted regarding this issue.
Reece emailed Estates about a lift to improve disabled access – he is yet to hear back.
4. Personal Items in the Office
There is limited space in the exec office and corridor. Please limit the number of personal belongings kept in the office. Kieran thanked Richard (and co) for tidying up the projection room. If it is rubbish, bin it.
5. Upcoming Socials
We are headed to the Duck after the Meet the Exec today – at approximately 6.30pm, possibly followed by Karaoke. We are doing a collaboration with Star Wars Society this Sunday for WSC and Star Wars members. The Facebook event page has more details. There is a games night social next Wednesday – see Facebook for details (this is not held in L3). There will be a Xananas meal following our AGM and elections in week 5, Wednesday. There is a Facebook event page with more details.
On Monday week 5 there is another Screen Unseen to which some members will be going – speak to Iain if you would like to go along.
Hamish suggested doing an event for Valentine’s Day which is Wednesday, week 6.
6. TADONM and Discussion Points
Reece suggests having an exec meeting on Friday week 5, in the evening – this may change depending on availability of current exec and exec elects. This will be a mega exec meeting.
The new exec will have to look ahead to the AllNighter, term 3 schedule and the Big Screening. We need to have a programming meeting for term 3 soon.
The organisation of a Welfare Officer role will be consulted with the new exec. The new exec will be given information about this role and ideas discussed so far will be conveyed during the mega exec meeting.
7. AOB
i) Responsibility of responding to emails from other societies will remain under External Relations Officer for the time being.
ii) The Crew Update emails under the Vice President’s role description may come into action with the new exec.
iii) Please roll A2s.
iv) Lakshmi has some film equipment that she would like to store in L3, overnight on Friday. The exec are okay with this.
v) Kieran asks if people could please not dump things behind L3 – this room needs tidying and usage should be limited.
vi) Handing out of posters during the Pub Quiz was discussed – this may be difficult as we can’t put up posters in the Duck, so we would have to carefully decide what posters to take.
vii) Taylor was unanimously ratified as a Qualified Duty Manager.
viii) During a DM meeting, it was voted and passed that if you are not the DM, Projectionist or an exec member, you should not be wearing your WSC polo (i.e. if you are a Trainee DM, but are not TDMing a show, please do not wear your WSC polo to avoid confusion with customers). After discussion with rest of the exec, Caleb will feed back to the Front of House Committee to change this to: Trainee DMs should not wear their blank WSC polo when they are stewarding.
ix) The tap in the restroom in the office is too sensitive, and will be fixed.
