I apologise for the random order of these minutes. This is in the order things were said. And I don’t have a copy of the agenda… sorry!
Present: Eleanor Hutchinson, Tom Hunns, George Marshall, Helen Coe, James Cotton, Andrew Maddison, Robert Gardner, Martin Mee, Rachel Crofts.
Claire Justin to arrive shortly due to lack of bus.
Tim Davidson and Ed Harry to arrive shortly due to work commitments.
James McLachlan sends his apologies, cannot attend as is has not moved in yet.
6. Getting Involved/Open Day
Need to wait for Ed’s intentions with regards to proj training and availability as to when these will be. Worth moving open day forwards to Friday week 1 and Getting Involved Monday week 2 or worth getting more people interested by showing films?
RG accused JM of being a Sheffield stripper.

1. Welcome & Apologies
JC welcomes all.
James McLachlan sends his apologies, cannot attend as is has not moved in yet.
Summer tasks:
EH not much to do.
HC many many invoices.
TH called Bell in reference to lacking extractor fan and other companies to order more things.
EMH bought new back plates and half way through setting up the ads and trailers.
GM designed publicity and sorted out printing and booklets sent out to freshers.
TD not much to be done, taken Deloitte off the website and needs UBS logo to put up.
JC sorted out details for sponsors for 07-08.
CJ Welcomed as just arrived. Been confirming schedule. Needs to go through films for AllNighter and BFW
For Black Gold, the distributors are only releasing DVD copies. Will wait to see how much we are being charged for showing it as to how much we charge customers.
Getting hard to find good 70mm films now as people getting rid of them. Only have Top Gun for this term.
2 Fresher’s Fairs & Coming Up Weekend
UBS have not given us any banners. Got about 500 flyers.
People to dress up? JC, GM, CJ, TH & EMH want to dress up as something from film on schedule. Competition as to guess the film the exec member is dressed up as. Prize of five film passes. GM to knock up form.
Get sweets to put with posters.
AOB UBS video. Where would it go in the opening sequence? Go with enjoy the show bit? Would work theoretically if computer works. Is feasible but need video to work out! Need time!!
2 cont Stall on coming up weekend? Commercial Fair. Costs a lot maybe about £300. Need to go union marketing and sort! Can target lost freshers and enrolment cue!

Flyers in booklets but just for ones given out at freshers fair.
4 Publicity
GM to do publicity for 2 free films, getting involved, 300. Different colours for each. Need BFW ones as well but cannot push too hard at freshers fair.
Questionnaire pushing at end of week 2.
5 BFW list to be generated by end of the week then GM to do publicity. A0 union publicity to arrive soon. Publicity runs on first (coming up) weekend.
7 Pam wants to know who has what keys. JC to go to talk to Pam.

Still going to do pre-show announcements? Exec to do and intended to be quite short.
When to do EPM? Week 4 CJ decided.
As to SOAF, need to veto this terms films before freshers fair. To go to Tom Lindsay about them.
No proximity readers here. James Bonsall (union IT) can place instant order. AM to go to JB tomorrow.
Pierre to get lifetime crew status? Done a lot of this terms publicity booklet.

New website message needed and to update regularly.
The short film for website will be done by JC.
Socials wise. Pizza after Getting Involved meeting on week 2. Subsidised partially? Bar Crawl week 3. Other socials weeks 5,7,9 &10.
Questionnaire to go into suggestions box and have printed extras.
