Minutes of the Warwick Student Cinema (WSC) Exec meeting held on 17th October 2019

Present: Jamie Rolinski (Vice-President, Minutes), Antoinette Clare (President, Chair), Alex Pointon (Technical Officer), Divyah Suresh (Treasurer), Callum O’Sullivan (Chief Projectionist), Toby Bailey (IT Officer), Harry Talbot (IT Officer), Matt Potter (CDM), Marta Meazza (Marketing Officer), Naz Malik (Films Officer)

2. Team Updates

DM TEAM – Qualified James on Casablanca, got enough DMs for the rest of the term. James ratified For – 9, Against – 0, Abstain – 0

IT TEAM – Just about to give new members of the IT team tasks, between the two of them which is good. Emails will be sent out to current IT team members too so they can discuss progress on their assignments. Memberships not being logged properly on the website now, but this really isn’t the biggest issue. FilmSoc Emails keep going to spam which is bad but the universities fault. AC thanks IT Team for replying to emails.

MARKETING TEAM – Team of around 12 people, had two workshops, the first was great, but the second less so, because they only invited current marketing members, forgot all the publicity people. Trailer session next week too, WIDS asked us if we could show a video before screening, they’re paying £25 per week, too low on reflection, but other than that it’s all good. Ooops, AP did a great job with all the social media stuff, it was great

PUBLICITY TEAM – Publicity to go in freshers bags only turned up with a few days until bag packing, AP was mad. All the publicity is currently running very low which is great and a testament to how great the exec is. Will need some more loyalty cards for sure this term. Now we have a draft schedule, the plan is to start the publicity team off on films we are certain we shall show.

PROJ TEAM – will get an interim projector week 6-10 which is good. Will have new projector for term 2 which is great. Six or potentially seven new trainees to be on the scheme for next term, along with two currently on the scheme, who are both almost qualified.

JR starts eating his pate, thoroughly enjoyable as always.

3. Well Done on WW

Well done everyone for welcome week, MP put in a huge shift, he did so much for the welcome week and all the bag packing, he’s done phenomenal, applause all round. AP - Best welcome week all round, from bag packing, to all the films we’ve shown. We’ve had so many amazing comments about everything. MP – DMs and Stewards did a great job, good job all.

4. Next Getting Involved Meeting

First getting involved meeting was good, AP asks everyone their opinion on it. JR – maybe put out a Facebook post etc about how to get involved. JL – good job Marta, she’s been carrying the load lots recently. What is everyone’s opinion on free films for marketing, all good as it currently is.

5. Update on Projector Situation

Callum covered already a little. AP – loan from soc exec has been approved, value is £15,000 but we plan to only need to pay £5000 a year. Only really need £10,000 loan but £15,000 is a cushion. Managed to get money from innovation fund. Vote on SU loan For – 10, Against -0, Abstain – 0
AP will send an email vote to buy the new projector, including all specification details.

Laser isn’t as dangerous as everyone makes it out to be, just be careful, we shall also get super exciting stickers for it.

6. Fundraising Rewards

Hoodies on order, but most other rewards have been sorted out already which is great. We’ve been getting some awesome feedback on this, i.e. Elena’s sister is overjoyed. Around 22 film strips left over. Lifetime and year passes are now live, AC’s design is awesome. Sell them the pass the first time so that after that, they can just be sold the ticket.

7. Collaborations

Vegan/VegSoc are collaborating on 35mm Chicken Run, we should pay for this as we shall make money on this. COS – how are we planning to do collaborations, slightly different than before. Three ways we can do collaborations. 1. They pay for it, and get all the money, do ticket prices themselves (e.g. will hay). 2. We do half and half, then we share the money between us, we sell tickets, crew allowed. 3. We pay for it, we get all the money, they just do some promotion and get some cheaper tickets.

Apollo 13 collaboration next week for Statistics, nightline and mind aware both involved too, in commemoration of Josh Hill, all proceeds to go to Matthew Elvidge Trust, we now have collection buckets too for this event.

8. Deadlines for Publicity/Marketing/Schedule (plus Programming Meeting Recap)

MARKETING – slides are no issue for this term, trailers will be ready in time. Given the size of the team next term shouldn’t be an issue, most will probably be done before term starts.

PUBLICITY – We need to make sure we don’t have a repeat of last year’s mess meaning publicity needs to be printed before Christmas, film booking needs to be done by the end of November, will start after next programming meeting in week 5. Schedule needs to be approved in week 6, to be finished booking by week 8. Publicity and marketing collaborating are great and hasn’t been done for far too long. Booklets for next term are a maybe depending on interest in helping make them from the publicity team and also the price of a quote.

PROGRAMMING – went a little overtime, lots of people non-filmsoc coming was great (roughly 20 of them).

9. Events and Socials

First-aid training in some way could be nice, a talk on this could be alright, MP wanted this so could be interested. Could collaborate on a film on 30th October with first aid society, on seeing a spooky film on this date.

Socials this term have been popular, pub quiz with filmsoc next Thursday. Week 7 is WSC Pride Week, showing carol in 35mm, pain and glory and rocket man.

10. TADONM

Maybe week 6 same time and same day as now.

11.AOBs

1. KH – People saying how great 35mm is, but they keep commenting on how much more expensive it is, but it’s not lol.
2. KH – Saving £5000 and having more films available is great stuff. We put so much time and effort into the society, it’s sad that we made £4000 as a society last year but Simon personally made £5000 off the society to fly out to the Maldives.
3. MP – Door stewards letting people in all the time, the issue could be filmsoc staff constantly walking in and out without saying anything, if you just greet them and introduce yourself, hopefully this should sort the issue out.
4. MP – lots of new people will be around so be very nice and don’t be closed off to them.
5. COS – got new fun signs on the door of the proj box, so be careful, it’ll be dangerous when rectifiers are being changed.
6. NM – come to the next programming meeting in two weeks’ time
7. JL – marketing people have been invited into the office, so be welcoming to them when they come to the office to work etc.
8. TB – Thanks for everyone being patient with us whilst we fix everything.
9. HT – IT team isn’t just HT and TB, its also AP and KH, they’re awesome too
10. AP – thanks for the IT team in general for being great, we have EPOS which is lovely.
11. MP – encouraging people to get involved in all the teams, team leaders please mention and promote the other aspects of the society
12. KH – lots of people in the society aren’t aware that they can do multiple sections of the society when they are new
13. COS – 5pm this Saturday is the guy paying to come and watch better call saul on his own, all crew is welcome to come, please come
14. AP – Coco being shown for Sherbourne on Halloween night, will start at 19:45, all crew are welcome to come, mingle with the Sherbourne people if you dare.
15. JL – next week’s Apollo 13, ES won’t sell tickets, be respectful and show your support, Niall too, he knows him
16. AC – please lock the door during lectures we don’t want random people just strolling in and bothering us
17. AP – lots of old posters under the floor in the proj box, they need to be binned, these will be kept out.
18. KH – be careful with reserving posters as we had a huge log of people who reserved the but
never picked them up
19. AP – will get all the old posters and put them to the side of the publicity table to be taken away
