Minutes of the Warwick Student Cinema (WSC) Exec meeting held on 19th January 2022

Present: Callum O’Sullivan (Vice-President, Acting Chair), Barnaby Sproats (Chief Projectionist), Max King (Chief Projectionist, Minutes), Lachlan Jack (Treasurer), Anna Taylor (Social Secretary), Aryan Aneja (Films Officer), Sueda Oktay (Chief DM, Social Secretary), Josh Howard (Films Officer)

1. Apologies
Apologies from Josh and Adam who arrived late
2. Team Updates
PROJ TEAM – BS: All going well - trainees have all settled in after the Christmas break, and we are looking to get the majority of the current trainee cohort qualified by the end of this term. Also seeing interest in 35mm projection, so will try and instigate a training programme in the next few weeks.
IT TEAM – AS: We now have ticket images! Also rating cards are updated on the website.
MARKETING TEAM –
PUBLICITY TEAM – SO: So far has been good - we have a team now! Will try and start on weekly publicity now we have one, with the first piece being for getting involved. Also will aim to have another publicity training session in the near future.
DM TEAM – SO: DMs are going well - only issue is with training, as there haven’t been many busy shows (and the state of these remains to be seen). Should be able to get a few DMs qualified by the end of term though.
Front of house is a little more sad, so there is still a push for more stewards.
3. Next Getting Involved Meeting
Wanted to have another GI meeting towards the end of last term, but have pushed it back to this term.
Discussed if projes would need to appear - the proj team is sorted for the year, but could still give a short speech and be clear that we can only take people onto the waiting list.
Date: there is a social planned for brunch on Saturday 29/1, but it may be good to schedule the meeting for 3pm that day.
4. Term 2 Publicity
President may be coming Saturday 22/1 - if so, that could be a useful time to try and do a publicity run. People also busy this week, so could attempt another one Wednesday 26/1 as well to cover more areas of campus.
These dates would be good to spread publicity for the upcoming Getting Involved meeting
5. Polo/Hoodie order
There was a provisional list made last term - should be carried out by LJ, who will get on it
6. Collaborations, Events and Socials
Showing “I Tonya” Ice Skating Soc (Wed, Week 5 - 19:30)
Showing “Pawn Sacrifice” for Chess Soc (Wed, Week 9 - 19:30)
Comic Book Soc Spider-man?
Mixed Netball have already organised a collab on the early show
Comic Book Society have not got back to COS, but we can put them on the early
Bad Film Soc List of Names:
Issue with the collab on The Room, but the exec have been refunded free tickets
Warwick Stats soc Winter Ball:
Stats soc got in contact to give out free tickets as a prize at their Winter Ball
Seems like a good idea - will get back to them
GENERAL POINT: SO says that collabs often cause confusion because they are not always visible in an obvious place
COS always in Slack and CC Exec into email chains, but we could try and make a shared Excel spreadsheet to collate them
Kill Double Bill Plans - Reduced 2nd ticket?
Doing a “double bill” would be easier and make more sense - however, online sales are already up as separate films and the publicity advertises them as separate
Kill Bills were expensive - rather than making the second free, £1 tickets for the second would be better. This may not be possible online - may have to arrange a combined ticket to put on the website: One for members and one for non-members.
We will send a steward to check people’s tickets of those who are staying in the middle, rather than clearing out L3 - though the finer logistical details can be ironed out nearer the time.
7. TADONM:
Must be after the next Getting Involved, but it would be good to have one to plan the elections: which should be before W8/9 programming meeting for the new Films Officers
Week 5 will be a good time in the middle of this period for next Exec meeting - details of elections, Meet the Exec etc will be planned there
8. AOBs
SO: Social tonight! Be there or be square
AA: Term 3 schedule being planned, any suggestions are welcome!
ED: had noticed that there was little activity on the Instagram page, and would be willing to help + has ideas - will email/talk to SO to chat about these
AT: has got in contact with Action for Trans Health with the idea of running a bucket collection on HPatPS
AS wants a freezer, with no suggestion of funds or space….
KH is too nice, “everyone is amazing” <3
AT: lots of crew (esp the finalists) are getting very busy with coursework etc at the moment, and with the business of the office during shows it can be hard to get work done - please can people be considerate. Maybe could try and instigate some of the during-show hours as quiet work time?
SO: everyone should come to Resident Evil on Thursday
