Exec Meeting Minutes 24/10/07
1. Welcome & Apologies

2. Sponsored Event
Grad Club booked, pizza booked, tech booked, free! drinks, film confirmed yesterday (Reservoir Dogs)
Prizes to be done sat and one on order already.
Event Planning Committee met and event passed.
Publicity to go out on Monday + on board in union north.
Talk to Alexis/F&B Manager about bar tab.
Limit event to 250 people entry to film so can fit in grad club.
Trailers and no ads before film VOTED UNANIMOUS
3. Preview Film
Into the Wild is sorted for Monday 5th November
Etickets to be done. Ads in boar then go online, register, get ticket for entry.
Clashes with Rob’s bring-a-firework party.
4. AllNighter
4 + Mystery already booked. Bourne Ultimatum, Blades of Glory, Trainspotting, Tales of Earthsea + Mystery
CJ need to count running times. RTs plus 2 hrs break.
GM suggests adding Die Hard if need extra time.
CJ to host quiz
Short films from York, Oxford and Warwick Unis to show possibly?
JC blaming CJ for being on birthday weekend. CJ blames JC for being born then.
GM to host/welcome. Realises after about a minute is mad.
5. Oxjam
Prizes to go them even if we don’t attend. AllNighter Tickets?
JC is willing to speak as not going AllNighter. GM suggests giving old posters as taking up space currently.

6. OWW collaboration issues.
Want to attract more home students.
Collaboration might not work as Citigroup sponsors them. If they don’t sponsor us and we do not sponsor them should be okay. They pay for the film as normal.
Want to show History Boys as get producer in to talk.
Do any day but Friday, Monday or Sunday.
Should be coming to EPM.
Many thanks were given to EH for the cake.
7. Term 2
Going to be a nightmare for publicity
Almost always miss deadline for printing
Absolute deadline is last day of term/Monday after.
Shuts over xmas.
Another publicity run for publicity getting involved and of week/next
EPM to be weds week 5
CJ to email GM as soon as film confirmed so can get reviews, graphics done.
GM to give feedback from questionnaire on films at EPM but one that came up was more sci-fi.
8. Planned Purchases
Need to get lamps £400 each
4 laptops, 2 computers, more RAM for media PC, Quark license for publicity.
9. Exec Communication
Question Page on website. TD started but not finished.
All crew emails sent out and website updated (thanks to Rachel for that) since last exec meeting.
Need to be more receptive to non-exec questions and pass on if not known.
Could do forum for questions to exec and conversations but better on website as constructed. Have Tab on website.
10. Provisional date of next meeting
Week 6 but not weds as Helen at work. TD not do tues. Decided on Thursday
4 days – if no one sends out within that time then text/call EH then responsibility of whole exec.
To suggest agenda to exec and agenda posted on website/forum
No Maximum limit for announcing as would have been laughed out of socs fed.

Comments on Questionnaires from GM:
Good mix of films.
Please please please can you show high school musical with a cherry on top.
You guys do a great job, don’t know how you do it keeping to such high standards.
Please can we vote for the AllNighter again.
More popcorn and less trailers.
It was great.
Pay Helen lots of money.
Keep up the outstanding work.

Soaf email sent to humanities subjects implies competition and insulting us. JC already seen Tom Lindsay.
Crew Status added as full crew after training. As people been to one training session, then went to see films free then totally removed after questioned. Added after 3 training sessions/shows?
Exec office makeover not to be brought up again/done until summer.
Lost our trolley probably after outdoor screening and missing. Need new one. Helen to buy.
