Exec Meeting - Sunday 19th November, 3pm - FAB5.01

Welcome and Apologies

Exec updates
JPL: Mark: 2k instagram followers, 6 or 7 new people signed up, already asking for T2 tracker which will come out first week of holidays
JPT: FOH: lots of stewards, more potential tDMS, did a shadow show on Shrek, another shadow show on Tuesday, all good
EL: Proj: going quite well, things are being projected, everything still working, one new Qproj, JPT, since last meeting, trainees signing up, not many shows to go round yet
SC: Pub: (in a car), blog pitches out, most assets done and first drafts will be out this week, booklet is happening, pricing ready in next two weeks, Natalie the GOAT has sent 25 emails in past two hours, everybody please proof
IT: JH: IT updates: 2 additional people have joined the IT team.
We've picked up 3 new servers that Scientific Computing were getting rid of, and may pick up more later this month (the plan is to replace the old servers with these). They're in the proj box but have not been installed yet. We don't really have a fully-fledged plan yet as we only got quite short notice they were getting rid of them.
TBC, but we will probably plan a 'tech day' just after we break up for Christmas to install the new server hardware and do a bunch of other random outstanding IT tasks.
Email and PiSignage have still been routinely breaking, can't do much about email currently without redoing the system and don't have time to fully debug/fix PiSignage until probs end of term
We wrote an update on Discourse about our plans for what we want to do with the website. I recognise that I phrased one of the points really badly and apologise for that, but please read the whole post and let me know your thoughts as soon as possible so I can plan out the next steps further.
TC: Socials: will start organising EoT meal soon (means during this meeting), poker night on Wednesday, hopefully more than three people will come, will be doing a Secret Santa for the meal which will be organised tomorrow

LL: met with Mosaic about Hidden Figures collab which is happening, plan is they want to give anyone from Maths/Stats/CompSci a free ticket, use Promotional Free Ticket on tills, test out POS
DK: can we have a special Mosaic cinema ticket as they are trying to make their brand
LL: needs contacting IT
ED: Treas: will think about what to do with SU grant money, found some decent hoodies so will send out to vote on, have thoughts on Film Passes to get to later - red hoodie options in chat

JPT: Shrek allnighter went really well, thanks to everyone who stayed to the end and helped clean up


Schedule and publicity updates
LL: already done pub updates, how is schedule going?
ZM: Yeah stuff is getting booked. Some distributors are being difficult but that's normal. Also the print of Carol is in horrible condition so need to decide whether we want to screen the DCP (which is from Park Circus) or whether we want to do a different film
KH: our projector is fine with Carol, PCC are playing it so we can email them
LL: eta on confirmed schedule?
ZM: Yeah, every distributor has been contacted. Some of it is them waiting to hear back on rights for films and some of it is them not replying to emails
LL: two weeks until proofs deadline, this Friday is time to panic

EL: more FFM in T2

ZM: oh yeah so Dillan and I were planning on bringing this up in this meeting. Thoughts on 12 angry men, rafiki, incendies, wish
LL: sounds good, maybe leave 12 angry men as a paid one

SC: we need a better name for IWD event pls


Term Passes
LL: everyone happy to do them again?
YES.
LL: thinking of printing cards for them? Assume we’d want to send that off with publicity?
JPT: pointless for functionality, would be better for externals who have to show an email
KH: quite pricey too, did it for crowdfunding
LL: we could print and laminate them in the office
EL: could give out bits of film to give to people
KH: better as souvenir than physical pass
LL: term passes, keep them same price, look into novelty film strips
KH: marketing content big one, we need a slide!

JPT: might be cute to get WSC lanyards, for polo-less people to look vaguely official, useful for stewards on busy shows

LL: can we order fewer standees please
EL: admittedly my message was quite angry, try and order less, especially wasteful plasticy ones, nothing we can do about “impromptu standees”, reduce active standees
JPT: spoke to DP, says he’ll just order standees for big films next term
